Inserting and Removing Keywords

The following information explains working with keywords in Correspondence Manager from outside of a return. For an explanation of working with correspondence from inside a return, see Managing Correspondence Letters Inside a Return.

Inserting a Keyword

You can insert keywords in rendered letters, custom letter templates, or custom paragraphs. When added to a letter template or paragraph, keywords appear as blue text in the Word pane. Keywords that you add to a rendered letter in a return appear as blue text in the Keyword Library.

Keywords are positioned in the keyword content control in a letter template or paragraph. The keyword content control displays when you select a keyword in the Word pane.

To insert a keyword, do the following:

  1. Select the tax year and return type from the available lists in the left pane of the Correspondence Manager window, and then click.
  2. Select to add or edit a letter template or paragraph.
  3. If the library section is not expanded, click the Keyword Library navigation bar.
  4. Expand keyword categories to display your desired keyword.
  5. Drag the keyword from the Keyword Library inside free flow text or paragraph content controls in the Word pane.

When the keyword is included in a letter that has been rendered in a return, it changes to data from the return, entered either from settings in the client profile or entered manually.

Removing a Keyword

You can delete keywords from rendered letters, letter templates, or paragraphs.

To remove a keyword, do the following:

  1. Select the tax year and return type from the available lists in the left pane of the Correspondence Manager window, and then click.
  2. Expand the Letters Template Library or Paragraph Library.
  3. Select to edit a letter template or paragraph.
  4. Click inside a keyword in the Word pane and press Delete on your keyboard.
  5. Click Yes on the confirmation window to remove the keyword from the paragraph.
