Assigning Staff to Client Access Groups

The Staff Profile - Client Access tab allows you to choose the client access groups to which the staff should be assigned. Only staff assigned to the client access group are able to work with the clients included in the access group.

Your firm can secure access to subsets of clients in an organizational unit by creating client access groups. Client access groups also provide the means for your firmto secure access to clients in specific product modules. Only those staff assigned to the access group will be able to work with the clients in the product modules selected in the access group. See Using Client Access Groups for more information on client access groups and what they are used for.

All client access groups display in the Client Access Group Assignments grid. When creating a staff or editing an existing staff, a check mark displays in the Meets Attributes column for any client access group where the staff's profile information meets the staff attribute criteria as defined in the client access group profile.

Note: Changes to the staff profile Assignments > Client Access window are also shown in the client access group profile on the Staff with access window.

To manage staff assignments to client access groups, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Staff Manager under Staff.
  2. Do one of the following to open the staff profile: 
  3. If you are creating a staff, click Save to display the Assignments options on the navigation panel.
  4. Click Assignments > Client Access on the navigation panel.
  5. Select the client access groups to which the staff should be assigned. All assigned client access groups display in the grid. You can do the following:

    Include Select to assign the staff access to clients in a client access group, regardless of the attribute criteria. Even if the profile information for the staff changes at a later time and the staff no longer meets the attribute criteria of the client access group, the staff will still be included in the group.
    Exclude Select to exclude the staff from access to clients in a client access group, even when the staff profile information meets the attribute criteria as defined in the client access group.
    Meets Attributes Displays a check mark beside each client access group for which the staff meets the attribute criteria.
    Assigned Displays a check mark beside each client access group to which the staff is assigned. The staff can be assigned to the client access group because the staff information meets the attribute criteria or because the staff was explicitly selected using the Include option.

  7. Select from the additional window features. ClosedExplain the components of the window.
  8. Click one of the following to save your changes:

    Save Saves the changes and the window stays open for editing.
    Save & New

    Saves the changes and opens a new window to create a staff.

    Note: This option is not available if editing a staff.

    Save & Close Saves the changes and exits the window.
    Cancel Exits the window without saving your changes.
