Adding a Client Associate Note

The Note - Client Associate window allows you to add or edit notes that document specific information about your associates. Client associate notes can be for your own reference or they can be assigned to other staff.

To add or edit client associate notes, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Client Manager under Clients.
  2. Do one of the following:
  3. Click Associates under Profile Information on the navigation panel.
  4. Do one of the following to display the client associate profile:
    • Add an associate. Click New on the button bar to add an associate.
    • Copy an associate. Select a client associate in the grid and click Copy on the button bar to create an associate based on the selected associate.
    • Open an associate. Select an existing associate in the grid and click Open on the button bar.
  5. Click Notes on the navigation panel.
  6. Do one of the following to display the Note - Client Associate window:
    • Add a note. Click New on the button bar to enter a new client associate note.
    • Open a note. Select a note in the grid and click Open on the button bar to edit an existing client associate note.
  7. Enter information for the client associate note. ClosedExplain the components of the window.
  8. Component Description
    Contact Select a contact that is related to the associate.
    Category Use the list to assign a category to the note. See Setting Up Notes Categories for more information.
    Staff

    Select an active staff to assign the note to.

    Enter text in the box to search for client ID, sub-ID, or name. As you type, the results update and the first matching item is highlighted.

    You can do the following to select an item:

    • Press Enter to select the highlighted item in the grid.
    • Move from the box to select the highlighted item in the grid. For example, you can press Tab or select another field or button on the window to move focus from the box.
    • Use your mouse to select a record in the grid.
    • Use your keyboard up or down arrow to highlight an item in the grid, and press Enter.

    Note: Records are filtered in the grid based on report name, and are sorted in ascending order.

    Date Enter a date or click the down arrow to select the correct date.
    Subject Enter a subject that provides information about the note.
    Note Enter the note for the client associate.
  9. Click one of the Note - Client Associate window ClosedSave buttons or cancel to return to the client associate profile.
  10. Button Description
    Save Saves the changes and the window stays open for editing.
    Save & New Saves the changes and opens a new window to create a new client associate note. This option is available only when you are creating a new client associate note.
    Save & Close Saves the changes and exits the window.
    Cancel Exits the window without saving your changes.
  11. Click one of the client associate profile ClosedSave buttons or cancel.
  12. If you also changed settings in the client profile, click one of the ClosedSave buttons or cancel.
