Managing Client Billing Groups

Client billing groups are used to group related clients together for billing purposes.

Examples: You can group a parent company with all of its subsidiaries together into one billing group, even if they have different client IDs. You could also set up a billing group for a family where all related clients have the same client ID but different sub-IDs.

Clients can be disassociated from a billing group only if there is no invoice in process for the group. Individual clients can only belong to one billing group.

Adding or Editing a Billing Group

To add or edit a client billing group, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Client Manager under Clients.
  2. Click Client Groups on the navigation panel.
  3. Click Billing Groups on the navigation panel.
  4. Note: The Client Billing Group window can also be displayed if you add a client with the same client ID as an existing client (with a unique sub-ID) and check the Allow this client to be billed in a billing group option on the Practice > Billing Options tab, and then click Yes on the Billing Group message that displays after saving the client.

  5. Open the billing group profile using one of the following methods:
    • Click New > Billing Group Profile in the Create group on the Home tab.
    • Select a billing group in the grid and click Open > Billing Group Profile in the Edit group on the Home tab.
  6. Enter or edit the billing group name and optional description.
  7. Click Client Selection on the navigation panel. 
  8. Assign clients to the client billing group in one or more of the following methods:
    • Select a client from the Client list.
    • Click Select Multiple Clients to use the Multi-select window. See Using Multi-Select Lookups for more information.
  9. Select a principal client to appear on the billing primary row of the grid. Only one principal client per billing group may be selected. This information will appear on the client's profile on the Billing Options window. See Setting Up Client Billing Options for more information.
  10. Click one of the ClosedSave buttons or Cancel.

Deleting a Client Billing Group

You must have Practice > Firm > Client Manager > Client billing groups delete permissions to delete a client billing group, Once a client billing group is deleted, any billing decisions made for the group and saved without generating an invoice remain for the individual clients.

  1. Open Dashboard, click Application Links on the navigation panel, and then click Client Manager under Clients.
  2. Click Client Groups on the Client Manager navigation panel.
  3. Click Billing Groups on the navigation panel.
  4. Right-click the billing group in the list and select Delete.
