Setting Error Conditions for Billing

You can specify which conditions will produce an error, issue a warning, or be ignored when an invoice is generated. For example, if an invoice is generated for a project that is on hold, you can set the system to issue a warning. You can also select recipients to receive a notification if a specified condition occurs. See Creating Billing Notifications for more information.

To set up error conditions for the firm's billing, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
  2. Click Practice > Billing Error Conditions on the navigation panel.
  3. Select one of the following actions for each condition:
    • Ignore. Does not display an error message or warning when the condition is met.
    • Warning. Displays a warning but allows the transaction to be saved.
    • Error. Displays an error message and, in most cases, does not allow the transaction or invoice to be saved. The invoice or transaction must be changed so that no error condition exists before it can be saved. However, you can override errors and continue billing for the following three conditions:
      • Invoice amount causes client to be billed at a loss
      • Invoice exceeds client present AR limit
      • Client has exceeded preset write down limit
    • Note: We recommend that your firm establish a policy for situations when error conditions prevent the saving a transaction or invoice.

  4. Click OK.
