Posting Time Capture Transactions

The Ready to Post view allows you to post a time or expense transaction. You can see all of your transactions that are ready to be posted, and, if you have permission to batch post, and/or permission to post transactions, you can post transactions for yourself and other staff. When you post a time or expense transaction, the transaction is moved to WIP so the client can be billed. The Ready to Post view allows you to post transactions that you have permission to post and either of the following:

  • The selected transactions are in a released status and your firm is not using the review process.
  • The selected transactions are in a reviewed status and your firm is using the review process.

The statuses you see depend on how your firm was set up. Your ability to change the status of transactions depends on your access rights.

Status Description
Unreleased Available for editing before being released for review.
Released Ready to be reviewed before posting to WIP if your firm is using the review process. If your firm is not using the review process, transactions with this status are ready to be posted.
Reviewed Have been reviewed and approved for WIP.
Posted Have been added to WIP.

If you have the appropriate permissions, you can click in the Review group on the Home tab to change the status of a Reviewed transaction back to Released. The is available in the Release group on the Home tab or by right-clicking and selecting Unrelease from the menu. Unrelease changes the transaction status from Released to Unreleased. There is no Unpost command. To correct a transaction after it has been posted, enter a new transaction for the correction, use Transfer, or correct the WIP option.

Tip: If your firm requires review of transactions before posting, you can overwrite that setting for a group of staff by using a security group. The security group must have the following functional rights, found on the Practice tab under Time Capture.

  • Post transactions for self after review
  • Post transactions for self without review (Real time post)

Component Description
Unreview Changes the status of the selected transactions from reviewed to released.
Post Changes the status of the selected transactions to posted. Depending on your firm's settings, transactions must be released or reviewed prior to posting. Real Time Post allows posting of your own unreleased transactions if you have the appropriate user permissions.
View Project

Click to open the project for the selected transaction. If the selected transaction has no entry in the Project column, this option allows you to create a new project.

Note: This option is available if your firm licenses Workstream.

View Workstep

Click to open the workstepClosed A task, or to-do item, for a project. Each workstep has its own budget, planned dates, and assignments. for the selected transaction. If the selected transaction has no entry in the Workstep column, this option allows you to create a new workstep.

View Route Sheet

Click to open the Route Sheet for the project associated with the selected transaction.

Note: This option is available if your firm licenses Workstream.

Change Staff Opens a window that allows you to change the staff associated with the selected transactions. This option is only available if you have permission to enter time and expense for others.
Change Date Opens a window that allows you to change the date associated with the selected transactions.
Change Rate Opens a window that allows you to change the rate associated with the selected transactions.

To post transactions, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and click Time transactions under Time Capture.
  2. Click Ready to Post on the navigation panel.
  3. Select one or more transactions. To select items next to each other, press and hold Shift while clicking the first and last items in the list. To select items that are not next to each other, press and hold Ctrl while clicking each item you want to select.
  4. Click in the Post group on the Home tab and right-click the grid and select Post from the menu.
