Configuring Return Configuration Set Letter Options
The Letter Options window in the return configuration set allows you to set up options for the five lines of information used in the heading of the standard transmittal letter and setup options for your alternate filing instructions.
- Open Dashboard, click Application Links on the navigation panel, and then click Configuration > Return configuration sets under Tax.
- Double-click a return configuration set on the navigation panel.
- Click Correspondence > Letter Options on the navigation panel.
- Click the Letter Options tab.
- Enter information for the letter and filing instruction options in the various areas.
Explain the letter options. - For tax years 2013 and higher, you can select to collate state and city letters and attachments when previewing or printing state and city returns in Tax.
- This option is not applicable for Employee Benefit Plan returns.

- Click Save to save your changes and continue working in the return configuration set, or click Save & Close to save your changes and close the return configuration set.

| Letter and filing instruction configurations | |
| Heading lines 1 - 5 | Enter the information you want to appear in the first five lines of the transmittal letter, such as firm name and address. Custom letterhead files uploaded for the return configuration set on the Stationery Options window override this heading. |
| Complimentary close | Enter the complimentary close you want, such as Sincerely, Truly, or Thank you that will immediately precede the signature. If no complimentary close is entered, Very truly yours will be used. Do not add a comma to the complimentary close. The Tax system adds this automatically. |
| Print letter and filing instructions in all uppercase | Select to print letters and filing instructions in upper case. Do not select this option to have the letters and filing instructions print with initial capital letters. |
| Print letter and filing instructions in government copy |
Select to print letters and filing instructions with the government copy of the return. Note: Letter and filing instructions are not required in the government copy. |
| Print extended due date on letter and filing instructions | Select to print the extended due date on letters and filing instructions for returns that are processed after the due date. |
| Print heading line 1 on signature line of letters | Select to print information for Heading line 1 in the signature line of the transmittal letter. If this option is cleared, the federal signature block line 1 information will print. |

| Use "I" in all letters |
Select to use singular pronouns (I, my) instead of plural pronouns (we, us) in all correspondence, except for K-1 letters for Partnership and S Corporation returns. To use singular pronouns in K-1 letters for Partnership and S Corporation returns, you must select the option on the General > Letters and Filing Instructions worksheet. Note: If the Use "I" in all Letters option is selected for correspondence in the return configuration set, the singular grammar variables I, me, and my are set automatically and are not flagged as potential grammar variables in letter templates. |
| Leave date blank on letters | Select to remove the current system date from letters. If not selected in the return configuration set or in the return, the date printed on letters is the date the return is processed. |
| Letters reflect paper filing instructions when electronic filing is disqualified |
By default, returns that are selected for electronic filing include electronic filing letter and filing instructions, whether or not the returns qualify for electronic filing. Select to include paper filing instructions when returns disqualify for electronic filing. When disqualified returns become eligible for electronic filing, the letters will include electronic filing instructions. Note: If electronic filing is not selected in the return configuration set or in a return, the letters include paper letter and filing instructions. |
