Setting Workstep Assignments for a Project Template
The Assignments section allows you to assign staff members to specific project template worksteps, or, if you are using role-based assignments, assign staff members to specific roles for the workstep.
Select a category for the assignment. The Assigned column is populated based on the selection made here.
Note: You can select roles only if the project template has defined roles. You can select by team if there are teams defined for the firm. See Managing Roles in a Template for more information.
Selection
Select the team, role, or client responsible staff for the assignment.
Note: If you selected Role in the Select By column, only the roles set up for the project template are available.
Assigned
Select a staff member to be assigned to this workstep. This depends on your choice in the Select By column.
Staff. Select any staff member to assign to this workstep.
Client Responsible Staff. The assigned staff is automatically populated based on the client responsible staff selected and the settings for the client.
Role. The list of available staff is limited to staff assigned to that role. A staff can be assigned to a role by being selected for that role or by being a member of a team assigned to that role. If roles are not defined for the project template, this option is not available.
Notes: If the role assignment is updated, and:
The workstep is unassigned, the new assignee to the role is automatically selected as the assignee on the workstep.
The role was previously unassigned and the workstep was assigned, the new role assignment is added to the workstep assignee lookup.
The staff being removed from the role assignment was assigned to a workstep, the staff is replaced by the new selection (either a new staff assignment or Unassigned).
Team. If the assignment is set by team, the team member who begins work on the workstep should set themselves as the file holder on the project's General tab.
Budget Hours
Enter the expected hours that the staff person will work on the project.
Planned start
Enter the date the assignment should be started.
Planned finish
Enter the date the assignment should be completed.
Totals per details
Displays a summation of the budgeted hours you entered for all the assignees that belong to this workstep.
This box is updated every time an assignment is added or removed, or if the budget hours for an assignee are changed.
Totals per budget
Displays the amount shown for the hours box on the budget page.
Select the area of expertise required for the work. The list of areas of expertise are established in Lists.
Staff position
Select the staff position required for the work to be done.
Level
Populates the list once you select the level of skill in the Area of Expertise. For example, the Area of Expertise may be Governmental Auditing, and you select a skill level of Expert.
