Configuring File Exports

Use the following procedure to set up a file export.

  1. Open Dashboard and click Applications on the navigation panel.
  2. Click Run utilities under Utilities.
  3. Click Document.
  4. Click File Export.
  5. Do one of the following:
    • To set up a new file export, click New.
    • To change an existing file export, select the check box next to the export you want to modify, and then click Edit.
  6. Select the Schedule check box to set up an export to run on a regular basis. To run an on-demand export, skip to step 8.
  7. Select how often to run the export in the Range of recurrence section. You can choose other options in this section depending on the Closedfrequency you select.
    • Daily. Specify the number of days between exports, or choose to run the export every weekday.
    • Weekly. Specify the number of weeks between exports, as well as the days of the week when the export should occur.
    • Monthly. Specify the day of the month to run the export and the number of months between exports. Or, you can select to run the exports on a specific day or week in a given month.
    • Yearly. Select a specific date to run the export. Or, select to run the exports on a day or week in a specific month (for example, the fifth day of January).
  8. In the Auto-backup duration section, enter or edit the date and time when this export should first be run. If needed, you can enter an end date when the schedule is no longer applicable. Select No end date if this export schedule should be used indefinitely.
  9. In the Export File name box, enter or edit the name for the export you are scheduling.

    Note: The name you select here also will be the name of the zipped file generated by the export.

  10. To export files in extended storage areas, select Include extended area files.
  11. In the grid, Closedenter criteria to identify the entities for which you want to back up files. Click Create after each entity type. As you select criteria, a list of the entities that will be in the export displays in the Selected Entity list section, along with information about the size of the files to be exported.

    For each entity type, select one of three options in the Value column:

    • Blank/empty. No files for that entity type will be exported. In this instance, clicking the View Details button  in the Select column opens a window where you can select entities to filter the next entity type.
    • All. The files for all entities of this type will be exported. No button displays in the Select column.
    • Selected. Only the files for selected entities of this type will be exported. Clicking the button in the Select column allows you to select the specific entities of this type for which you want to export files.
  12. Click OK. If you are running an on-demand export, the export begins. If you scheduled an automatic export, the export will run on the date and time you selected.
