Making Files Available Offline

You can use the Synchronizing Files for Offline Viewing window to make a file stored in Document available for viewing offline on your computer. The file will be downloaded to your computer. Changes made to the file stored in Document can be synchronized to this offline version when you are next online.

Note: Synchronization is a one-way process, from Document to the offline version of the file. If you make changes to the offline version of the file, those changes cannot be synchronized to the version in Document.

You can configure Document to synchronize files automatically when you log in or log out of Document. You can also synchronize files manually at any time.

To make a file available offline, do the following: 

  1. ClosedLocate the file in Document CentralClosed The main window where most Document tasks originate. Document Central contains several tabs that display lists of files, file groups, discussions, tasks, and recent entities..
    • Use the navigation panel to locate the file by entity. Locate and select the entity the file belongs to on the navigation panel. Then, select the File List tab on Document Central to view all files for the entity. You can filter or sort the grid on this tab as needed to find a specific file.
    • Search for the file. Document offers both a quick search and an advanced search. You can use filters and wildcard characters to help you limit your search to relevant results.
  2. Right-click the file and select Always available offline.
  3. Note: The items on the right-click menu vary depending on your permissions and security group assignments. Administrative users can change permissions and security group assignments in Administration Manager. See the Administration Manager Help and the topic Managing Access in CCH® ProSystem fx® for more information.

  4. Select one of the following options to indicate when the file on your computer should be synchronized with the version stored in Document:
    • When I log on to Document. Every time you log in to Document, the system will sync the offline version of the file to match the version stored in Document.
    • When I log off from Document. Every time you log out of Document, the system will sync the offline version of the file to match the version stored in Document.

  5. Click to set the location where the offline version of the file should be stored.
  6. In the Synchronized files list, select the check box next to the file you want to make available offline, if it is not already selected.
  7. Click Apply to selected to apply the settings you selected above to the file.
  8. Click OK.
