Attaching Files Stored in Document

You can attach a file stored in Document to Microsoft® Outlook® emails using the Outlook® plug-in. If your firm uses sensitivity levelsClosed A category applied to a file that indicates the level of confidentiality required for the file. Your firm can limit which files can be sent as email attachments based on sensitivity levels., the plug-in will verify that the file's sensitivity level allows it to be sent via email. The plug-in will also encrypt the attached file if your firm has enabled Document's email encryption feature.

Warning: These security features are available only when you send emails from within Document or when you use the Document plug-in to Outlook®. If you drag-and-drop files from Document to Outlook® emails, Document cannot encrypt the file, nor confirm the file's sensitivity level.

To include a file stored on a Document site as an email attachment, do the following:

  1. Create or open the email message that you want to add an attachment to.
  2. On the CCH ProSystem fx Suite ribbon, select Attach Document Files with 7Zip.
  3. ClosedLocate and select the files to attach.
    1. Select the entity type for the file that you want to attach. If you select Firm or Recent Entities as the entity type, continue with step c. Otherwise, continue with step b.
    2. Enter the entity name or ID for the file. As you type, the system displays a list of entities that are possible matches. Select the correct entity in the list. The folder structure for the entity displays in the bottom-left section of the window. A list of all the files for the selected entity displays in the grid on the right.

      Note: Click the Refresh button to check for entities that have been added since the Attach Document Files window was opened.

    3. Expand the entity tree and select the folder for the file.
    4. In the grid on the right, select the check box next to the file you want to attach.
    5. Click Attach Selected.

      Notes

      • If the sensitivity level of the file is set to Prompt, you must confirm that you want to attach the documents before the files are added to the email.
      • If a file selected for attachment is checked out, the most recent version of the file that was checked in is attached.
  4. Complete and send the email.
