Managing the Audit Trail Settings

You can use the audit trail feature to capture information about activities performed in Document. Activities can be tracked by user and by file. You can enable and configure audit trail tracking on the Audit Trail Settings window. Information gathered through audit tracking can be viewed on audit trail reports.

Tip: The audit trail feature captures a large amount of data. We recommend that you archive or purge the audit trail records regularly. You can set the archive or purge to occur automatically, or you can perform these processes manually.

ClosedEnable or disable audit trail tracking.

  1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
  2. Click Document > Audit Trail Settings on the navigation panel.
  3. Edit the Closedsettings in the User activity auditing section as needed.
  4. Edit the Closedsettings in the File activity auditing section.
  5. Click OK.

ClosedManually archive the user or file activity log file.

  1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
  2. Click Document > Audit Trail Settings on the navigation panel.
  3. Expand either the User activity auditing section of the window or the File activity auditing section of the window, depending on which file you want to archive.
  4. Click Archive now.
  5. Select the time frame for which you want to archive the audit activity. You can do either of the following:
    • Select a time frame from the Archive list.
    • Select Specified date from the Archive list, and then enter a specific date or date range in the Date field.
  6. Enter the email address of the person who should receive the archived log file. You can also click the user button to select a user from the list.
  7. Select the format for the audit log file. You can select either an XLS or an XML file.
  8. In the View report section, select Yes if you want to view the log file report in Administration Manager. Select No, just send email if you want to send the report by email without viewing it in Administration Manager.
  9. Click OK.
  10. Click OK again.

ClosedManually purge the user activity audit log file.

You can purge the user activity log files generated by audit tracking in Administration Manager. You cannot purge the file activity log files.

  1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
  2. Click Document > Audit Trail Settings on the navigation panel.
  3. Expand the User activity auditing section of the window.
  4. Click Purge now.
  5. Select the time frame for which you want to purge the audit activity. You can do either of the following:
    • Select a time frame from the Purge list.
    • Select Specified date from the Archive list, and then enter a specific date or date range in the Date field.
  6. Click OK.
  7. Click OK again.
