Managing General File Naming Conventions

You can set general file naming conventions for the firm as a whole, by office, or by business unit. Within a particular business unit, you can also create separate file naming conventions for clients and non-clients. By default, all entities are set to use the existing file name assigned to a file at upload.

You can view the current file naming conventions for the firm on the File naming conventions grid. This grid is also the starting place for creating or editing file naming conventions. To view the grid, do the following:

  1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
  2. Click Document > File Naming Conventions on the navigation panel.

Note: This grid lists only general file naming conventions. The file naming conventions created for files sent from Practice or Tax must be reviewed in their respective configuration windows.

ClosedChange a file naming convention for an entity.

  1. On the File naming conventions grid, select the entity for which you want to edit the naming convention, and then click Edit.

    Note: To quickly locate an entity in the grid, click Find on the button bar, and then enter all or part of the entity name to search the grid.

  2. In the File naming convention scheme panel, select a field in the Value column that you want to include in the file name convention.
  3. In the Separator column, select a separator to use between fields in the file naming convention, if needed.
  4. To add another field to the file naming convention, click Add row, and then repeat steps 4 and 5 as needed.
  5. Note: A sample view of the file naming convention displays at the bottom of the panel and is updated as you select new values and separators for the naming convention.

  6. Click OK.

  1. Open Dashboard, click Application Links on the navigation panel, and then click Settings and defaults under Firm.
  2. Click Document > File Naming Conventions on the navigation panel.
  3. Click Print on the button bar to open the print options window.
  4. Click OK.
